Introduction

Taj Track ("the App") is a mobile application that provides public-facing services — including a station locator, complaint submission, and complaint tracking — available to any user without an account. It also offers additional features for users who sign in with an account.

This Privacy Policy explains how we collect, use, store, and protect your information when you use the Taj Track app. By using the App, you agree to the practices described in this policy.

Information We Collect

A. Information Collected Without an Account

• Device location (only when you use the Station Locator feature, in real time)
• Complaint type, optional station name, and complaint message (when you submit a complaint)
• Complaint number used to look up status (when you use Track Your Complaint)

B. Account & Profile Information (Signed-In Users)

• User name and account reference number
• Username and authentication credentials
• User ID assigned to your account

C. Activity Data (Signed-In Users)

• Check-in and check-out timestamps
• Selfie photographs captured during activity marking
• Location coordinates at the time of marking
• Site or location assignment and itinerary details
• Reason text provided when marking outside an assigned itinerary

D. Technical Information

• Device model and operating system version
• App version and build number
• Network connectivity status
• Anonymised usage data for app improvement (does not identify you personally)

How We Use Your Information

We use the information we collect to:

• Display nearby service locations on the interactive map
• Receive, process, and respond to complaints submitted through the App
• Provide complaint status updates via the complaint tracking feature
• Authenticate users who sign in and manage secure access to account features
• Record and verify activity entries and associate them with assigned locations
• Support offline data storage and synchronization when connectivity is restored
• Improve the functionality, reliability, and user experience of the App
• Comply with applicable legal and regulatory obligations

Public Features — No Account Required

The following features are available to all users without creating or signing in to an account:

• Find a Station: Locates nearby service locations using your device's GPS. Location data is used in real time only and is not stored on our servers.
• Submit a Complaint: Allows any user to report a fuel quality, service, or equipment concern. Complaints are linked to a unique complaint number, not to any personal profile or identity.
• Track Your Complaint: Allows any user to check the current status of a previously submitted complaint by entering its complaint number. No personal information is required.

No personally identifiable information is required to use any of these features.

Location Access

The App requests access to your device location in two contexts:

• Station Locator (public): Location is accessed in real time to calculate proximity to service locations. It is not transmitted to our servers or stored in any form.
• Activity Marking (signed-in users): Location coordinates are captured at the moment you mark an activity to verify your presence at an assigned site. Location is not tracked continuously or in the background.

You may revoke location permission at any time through your device settings. Without location access, the Station Locator and GPS-based activity features will not function.

Camera Access

Camera access is only requested for signed-in users. The App uses your camera to capture a verification photograph as part of the activity marking process.

Camera access is used only when you explicitly initiate the capture within the App. Images are stored securely on the device and transmitted to our servers during synchronization. The camera is never accessed in the background.

Data Storage & Offline Support

For signed-in users, the App supports offline functionality. When an internet connection is unavailable, activity records and location markings are stored locally on your device using an on-device database. Verification images are saved to the application's document directory to ensure they persist until synchronization.

When connectivity is restored, all pending data is automatically synchronized with our secure servers. Successfully synced records are retained on the server and may be cleared from local storage.

Public features (Station Locator, Submit Complaint, Track Complaint) do not store any data locally on your device.

Data Security

We implement appropriate technical and organizational measures to safeguard your information, including:

• Encrypted communication channels (SSL/TLS) for all data transfers
• Token-based authentication for API access
• Secure, access-controlled databases on the server side
• Local data stored within the App's sandboxed storage on your device
• Continuous monitoring to prevent unauthorized access, data loss, or misuse

While we take all reasonable precautions, no system is entirely secure. Users are advised to keep their login credentials confidential and to report any suspicious activity immediately.

Information Sharing

Taj Track does not sell, trade, or rent user personal information to third parties. Information may only be shared in the following circumstances:

• With authorized personnel for operational and complaint resolution purposes
• With trusted technology partners who support the infrastructure and hosting of the App, under strict confidentiality agreements
• When required under applicable laws, regulations, or legal processes
• To protect the rights, security, and integrity of Taj Track and its users

We do not share your data for advertising or marketing purposes.

Third-Party Services

The App uses Google Maps to display maps and assist with station location detection. Your use of the map is subject to Google's Privacy Policy (policies.google.com/privacy).

We do not share your personal data with any other third parties for marketing or advertising purposes. Taj Track is not responsible for the privacy practices of external services.

Your Rights

As a user of the App, you have the right to:

• Request access to your personal data held by us
• Request correction or updates to inaccurate information
• Request deletion of your data, subject to applicable legal requirements
• Withdraw consent for data processing where processing is based on consent

How to Request Data Deletion

Please include the following in your request:

• Your full name and account user ID (if you have an account)
• The email address or username associated with your account
• A clear statement requesting deletion of your data

Upon receiving your request, we will verify your identity and process the deletion within 30 business days. You will receive a confirmation once your data has been removed. Certain data may be retained where required by law or for legitimate record-keeping obligations.

Data Retention

We retain information only for as long as necessary to:

• Fulfill the purpose for which it was collected (e.g., resolving a complaint)
• Comply with applicable legal and regulatory obligations
• Support operational record-keeping and audit processes

Complaint records are retained for the duration required to resolve the complaint and meet any applicable regulatory requirements. Anonymised usage data may be retained indefinitely for analytical purposes.

Children's Privacy

The Taj Track app is available to all users. The public features (Station Locator, Submit Complaint, Track Complaint) do not collect personally identifiable information. We do not knowingly collect personal data from children under the age of 13.

If you believe a child under 13 has provided personal information through the App, please contact us immediately and we will take appropriate action to delete it.

Changes to This Policy

Taj Track reserves the right to update this Privacy Policy periodically. Any changes will be published on this page with an updated effective date.

Continued use of the App following any update constitutes your acceptance of the revised policy.
